In the recruitment agency business, clients often request customised tracker Excel files to monitor the progress of active job positions. These trackers need to be shared with clients regularly. To streamline this process, the Tracker Templates feature allows users to manage tracker templates (add, edit, delete) based on their access privileges.

To manage Tracker Templates, follow these steps:
Click on the 3 Dots option on the left-hand menu.
Go to the Tracker Templates.
Once accessed, you will see a table displaying the existing tracker templates with the following columns:
Tracker Name
Client Name
Created By
Actions: Edit | Delete
To add a new tracker template:
Click on + Add Tracker Template.
Enter the Tracker Name.
Select the Client(s) to whom this tracker will be applicable.
Choose whether to Share with Others (default: No). If enabled, others can access it.
Available Fields for Customisation
Users can select and reorder fields from the following categories:
Candidate Details
Jobs Information
Job-Candidate Mapping (e.g., candidate status, offered salary, joining date, billing fees, etc.)
Interview Details (e.g., interview date & time, interview type, result, etc.)
After setting up the fields, click Save to finalise the tracker template.
Trackers can be generated from multiple sections within the system, such as:
Pipeline Screen
Job Dialog - Candidates Section
Candidate & Talent Pool Screens
Under More Actions, click Generate Tracker.
A Generate Tracker dialog will open with the following options:
Select Tracker Template (pre-selected for the client if available).
Option to Add or Refresh templates.
Sharing Options:
Share with Client (opens an email dialog with the tracker file attached).
Export (downloads the tracker file).
If sharing with a client, the client’s email will be auto-populated.
Data follows the same order as defined in the template.
A maximum of 100 records can be added to the tracker. If exceeded, a validation message will appear.
If checkboxes are selected, only those records will be included; otherwise, first 100 records will be considered.
By using Tracker Templates, agencies can efficiently share candidate and job progress with clients, ensuring smooth and structured tracking.
